Steps to Requesting Funding
*IF PLANNING A PROGRAM, FIRST PICK UP A PROGRAM REGISTRATION FORM IN 125C HUB-ROBESON CENTER AND SCHEDULE AN APPOINTMENT TO MEET WITH A PROGAM ADVISOR. AFTER YOU MEET WITH THE PROGRAM ADVISOR YOU MAY REQUEST A PROGRAM REQUEST FORM FROM UPAC.*
1. Begin planning your event. Whether you are planning a trip or a program, you will need to have some information available before you can request UPAC funds. The most important information needed are: the date of your travel or program (to ensure the correct deadline date for your request is given) and a brief description of what you plan to do (it does not need to be written, but must be clear enough for a UPAC member to provide you with the correct form). Note: Deadlines for Program and Travel requests are 30 academic days and
40 academic days. Please be sure to check with the office for the correct date.
2. Sign out a request form. The next step in requesting funds is to sign out a request form from the UPAC office (229 HUB). We are open weekdays 8-5, and there is no need to make an appointment.
3. Complete the request form. As you answer the questions printed on the form and gather the necessary attachments, keep in touch with your SCT contact. This person will help you to ensure that your request is complete and that it complies with any relevant policies.
4. Submit your request. Once your form is complete and all bids, etc. are attached, return it to the UPAC office so that the committee can put you on the agenda. Budgets are heard on a first come first serve basis with some allowances being made for urgency.
5. Present your request. A member of the committee will contact you when your budget is placed on the agenda. You will be asked to come to the HUB on a Tuesday evening to present your request to the committee. You will meet with your SCT contact prior to your presentation, and he or she will stay with you until your presentation is complete. After your presentation, the committee will vote on your request.
6. Pick up your allocation letter. Your allocation letter will be ready for pickup the Friday afternoon following your presentation. It can be picked up in the UPAC office. Any questions that you may have about the allocation can be addressed by a UPAC member in the office at that time, or by the overall chair (Committee Leadership).
